The José Silveira Foundation (FJS), located in Salvador, Bahia, Brazil, adopted SISQUAL® WFM in 2020 to enhance schedule and extra hours management, ensuring greater accuracy in recording its employees’ time data.
The philanthropic institution, which provides services and initiatives to promote health and quality of life for all citizens, including those in vulnerable situations, has acquired the solution to simplify the management of its workforce across the group’s various units, including three hospitals, among which is the leading health institution in Bahia – Hospital Santo Amaro (HSA), a clinical analysis laboratory, a rehabilitation centre, a research and innovation centre, as well as projects focused on education, occupational health and sustainable development.
Created in 1937 by Prof. José Silveira, the institution performs approximately 1.2 million consultations to the public annually, with Hospital Santo Amaro being the leading private facility in gynaecology, obstetrics and neonatology.
The challenge before SISQUAL® WFM
Before implementing SISQUAL® WFM, the Foundation faced several challenges related to managing its workforce, which consists of tens of thousands of professionals.
The control of schedules, extra hours management, clocking, and payroll closing was carried out manually, using Excel spreadsheets or systems with limitations, which was time-consuming and generated uncertainty in the processes, impacting management efficiency.
Due to the need for greater transparency in processes and to facilitate employee access to extra hours management and clocking across the group’s various units, FJS acquired 13,000 SISQUAL® WFM licences to optimise internal management and bring qualitative benefits to the institution. Jefferson Nascimento, HR Supervisor at the Foundation, points out that “with the implementation of SISQUAL® WFM, the process has become more efficient, with fewer errors and greater agility, resulting in a 10-day reduction in the time required to close clocking,” he explains.
In addition to the benefits in schedule management, which are now configured automatically in accordance with the rules of the CLT (Consolidation of Labour Laws in Brazil), the tool has also brought greater efficiency in managing absenteeism, thereby helping to streamline payroll closure.
Watch FJS’s testimony about the implementation of SISQUAL® WFM software:
Different modules were implemented at the Foundation:
Enables the planning, control, and visualisation of all operations, resulting in higher service quality.
Allows automatic integration of time and attendance data with payroll, resulting in more accurate automatic calculation of overtime/night shift hours.
Allows teams to utilise tools to manage their schedules, providing a better work-life balance.
Manages team time clock data, enabling greater control over absenteeism and overtime.
WFM increases the quality of care and patient safety
Hospital Santo Amaro is one of the primary beneficiaries of the tool. Due to its capacity to provide care in various areas of health, SISQUAL® WFM has brought greater agility, safety, and optimisation to processes. ‘The results are particularly noticeable in the management of hours by the manager and the reliability on the part of the employee, who now has access to the management of their extra hours,’ says Ana Carolina Lima, Supervisor of the Adult Intensive Care Unit (ICU).
Also in healthcare, SISQUAL® WFM has added reliability to the processes of healthcare professionals, enabling better patient care: ‘SISQUAL® WFM contributes to patient safety, mainly in terms of staffing levels, as we can highlight the workload and understand the number of professionals needed for healthcare,’ adds the Hospital’s ICU Supervisor.
Recently, Hospital Santo Amaro received a certification for quality of care, having earned the Seals of Integrity and Accreditation with Excellence – “ONA 3”. Certified organisations stand out for their ability to offer safer, more efficient and patient-centred care. Thus, the use of Workforce Management platforms by healthcare institutions in Brazil has proven to be decisive in obtaining certifications, helping to align operations with the required standards and promoting efficiency and quality in services.
The implementation of SISQUAL® WFM at the José Silveira Foundation reflects how technology can transform people and process management in healthcare institutions. For the institution’s HR Supervisor, the word that best defines the Foundation’s relationship with the tool is ‘security.’
It is based on this premise that SISQUAL® WFM is committed to enhancing healthcare management in Brazil, not only by refining processes but also by serving as a strategic partner in delivering safer and more efficient care to patients.
