Spain: How WFM can prepare companies for the new digital clocking law

Lei Espanha

On 1 January 2025, a new Spanish law came into force that will make it compulsory for all companies to adopt digital clocking systems. This regulation, approved as part of the 2024 labour bill, replaces traditional manual methods with modern solutions, guaranteeing more efficient and transparent control of working hours.

Although compliance is at the heart of the new law, digitalisation represents a transformational opportunity for companies. Workforce management (WFM) tools can, therefore, help organisations meet the new legal requirements, improve operations, and promote employee well-being.

What will change with the Digital Marking Law?

The new regulations make it compulsory for organisations to switch from manual clocking systems to digital ones. The main objectives of the change include:

  • Transparency in Time Recording: Eliminating flaws associated with manual records and ensuring that all hours worked are recorded accurately.
  • Compliance with Regulations: Align records with the General Data Protection Regulation (GDPR) to promote the protection of personal data.
  • Modernisation of Processes: Encourage the adoption of technologies that optimise workforce management.

WFM tools guarantee accuracy and efficiency

Workforce Management solutions are decisive in companies’ transition to the approved law, helping them to comply with the new requirements of the clocking-in process, while at the same time acting as a competitive differentiator. Thus, tools such as SISQUAL® WFM not only guarantee compliance with the new legislation, but also offer a series of benefits that transform companies’ daily operations, including:

  • Scenario simulation: when any labour change arises, it is possible to simulate the operational impact by applying the new guidelines to the current plan and highlighting what needs to be improved in order to comply.
  • Digital tagging via devices: Employees can clock in and out via mobile devices, biometric time clocks or proximity cards, computers, etc., eliminating manual errors.
  • Shift planning: The software automates the allocation of shifts, optimising human resources and guaranteeing adequate coverage for each shift.
  • Reduced operating costs: With digital scheduling, companies can process hours worked more quickly and integrate data automatically, reducing errors and optimising the personnel department’s working time.
  • Auditable Records: All hours worked are documented digitally, facilitating audits.
  • Data Security: The solutions strictly comply with the GDPR, guaranteeing the confidentiality of employee information.
  • Flexible Schedule Management: Employees have greater control over their shifts, being able to change schedules, request holidays and justify absences directly through the platform.

Gran Casino registers financial benefits with SISQUAL® WFM

The Gran Madrid Group, a leader in the gaming and leisure sector, has been using SISQUAL® WFM since 2019 to manage its employees’ attendance and shifts. Before the tool was implemented, recording working hours was one of the Human Resources department’s biggest challenges. After adopting the system, shift assignments were optimised, saving time and resources and improving internal communication, translating into a ‘significant advance for the organisation, reducing the risk of miscommunication and bringing operational and financial benefits’, says José Pedro Fernandes, vice-president of SISQUAL® WFM for the Spanish market.

This example demonstrates how the transition to digital time and attendance systems is not just a legal obligation, but an opportunity for Spanish companies to modernise management processes and achieve better results.

WFM solutions are a competitive advantage for companies

With digital scheduling becoming mandatory, companies still using traditional methods need to start the transition as soon as possible. SISQUAL® WFM is a complete solution that enables a swift and effective transition to digital systems; access to advanced features such as detailed reports, overtime monitoring and shift optimisation; and greater flexibility and simplicity in day-to-day workforce management.

Companies that adopt robust WFM solutions will not only respond to legal requirements, but will also be better prepared for the challenges of the future.
